Minutes of the Annual General Meeting of Old Bolingbroke with Hareby Parish Council as Sole Charity Trustee for Ramsden (Memorial) Hall and King George V Playing Fields Trust, held 18th July 2024 at 6.30pm in Ramsden Village Hall

  1. Welcome

The Chair welcomed everyone to the meeting.

 

  1. To receive Apologies

There were no apologies

 

  1. To approve the minutes of the meeting held on 16th May 2024

It was noted that the minutes of the last meeting did not refer to the broken field

fence along West Keal Road that requires addressing. It was resolved to accept the

minutes of the meeting held on 16th May 2024 and they were signed by the Chair.

 

  1. To receive and approve the Sole Charity Trustee asset register

The asset register for the SCT is:

Ramsden Hall including car park and associated fencing and hedges

King George V Field including the Play Area (managed by the Parish Council) and associated fencing and hedges.

 

  1. To receive an update on the Ramsden Memorial Hall

Works has been completed with the storage area being opened up and an entrance hall door installed. The oil tank is to be relocated.

 

  1. To formally receive from RMH Management Committee:
    1. Minutes

The minutes to be forwarded to the Clerk.

  1. Audited accounts

The audited accounts have been presented and will be placed on the website.

  1. Copy of current insurance document

A copy of the current insurance document will be forwarded to the Clerk.

  1. Copy of the current fire risk assessment

The current fire risk assessment is being reviewed and will be presented shortly.

 

  1. To review the terms of reference for the RMH Management Committee

It was agreed that a further meeting be held to review the terms of reference and the Governance Document as a result of the Charity Commissions concerns that the current governing document is not worded in an exclusively charitable format.

 

  1. To receive an update on the King George V Field

Cllr Godsell to ask Jamie Cartwright to cut and bale the field and cut the overflow carpark area. Concern that the bottom gate is rotting. Broken fencing near the highway. £900 in Field account and proceeds from the Garage Sale will go into the Field account.

 

  1. To formally receive from King George V Field:
    1. Audited accounts

Audited accounts have been presented.

 

 

  1. To discuss the Play Area

This item was discussed at the Parish Council meeting.

 

  1. Items for next agenda

Field, Terms of Reference for Ramsden Hall Management Committee and Governance Document.

 

  1. Date of next meeting

A meeting was arranged 8th August at 6.30pm and 19th September at 6.30pm.
