 Minutes of the Ramsden Hall Village Committee Meeting held on 13th August 2019

Those present: Rowland Alexander, Roy Hallam (Chair), David Makins, Yvonne Norbron, Pam Powell, Debs Talmage, Carol Wilby

There was one member of the public present.

Apologies: Julia Alexander

Declarations of Interest: None were declared by those present

Minutes: The minutes of the last meeting were to be signed as correct.

Matters arising: Roy expressed concern about the van and car parking on the grass at the front of the Hall. It was decided that the Parish Council should be asked to sort this problem as they were responsible for the grass cutting.

 

Finances:

  • • Rowland stated that the bank balance at 31.07.19 was £11,436.08 (an increase of £1002), petty cash £111.39. David checked the bank statement. The plant sale had raised £1641 and Roy was thanked for his efforts with this. The catering has raised £1770 net profit. Rent has raised £2313

  • • Expenditure: Utilities : Electricity for was £37.42 (June)£25.94(July) Total for the year £227.08 (£216.74 last year). Anglian Water 4 April to 2 July £32.70. An exact meter reading needs to be given next time.

  • • Other expenses Payments to Kingsgate for cupboard shelving labour £150, materials £150. Security light £100. (In future more detailed accurate quotes and invoices would be required). Payments to Ken James £35 for supply of parts and repair of the cistern in the disabled toilet.

  • • Shirley Osborne had made an extra donation of £5 after the garage sale.

  • • It was discussed whether some monies should be transferred to the PC/VH joint account, The Clerk would be asked about this.

 

Cleaning and Maintenance:

  • • Roy asked if we should sell the hoover but after discussion it was decided that it should be kept for future possible use.

  • • Rowland stated that the boiler and fire extinguishers/PAT testing needs doing in October. The oil tank is half full.

  • • Door strips need fitting on the front doors. David stated it might be good practice to fit finger proof strips on the doors and this will certainly be considered as part of the refurbishment.

  • • Carol and Mick are to renovate two chairs to see how viable it would be to renovate all the chairs.

 

Bookings:

  • • Usual hall bookings continue

  • • The Hall has been booked for four parties.

  • • Lunches will be offered between 12 and 2pm for visitors to the Church on 31st August and 1st September.

  • • MacMillan coffee morning 27th September

  • • Harvest supper in October –Roy to confirm date

  • • FOBC had booked the hall for an apple day event in October.

 

Proposed extension to the Hall

  • • Pam had circulated a letter received from Ian Carrington (Planning Officer) with pre planning advice.

  • • Three architects had been approached and all had agreed to tender for the plans.

  • • ACRE would fund the Village Plan but not the PC.

  • • Carol and Pam had been to a funding meeting in Boston and Jody Raggo had been in touch with lists of funders and offering to help especially with proof reading applications.

  • • Bex Allen and Sam Smith have also offered to support.

  • • Carol proposed and Debs seconded the following proposal:

 

The committee prepares a paper to present to the PC at their September meeting showing how it would like to extend the southern end of the building to the nearest playground fence line at the rear of the building to mirror the extension at the front of the building. The paper would show the need for the extended kitchen and storage area. The committee would ask that the PC supports this and asks that three architects tender plans to include all aspects of the proposed extension, proposed carpark and new playing area. All agreed to the proposal.

  • • David suggested we should fund the carpark as this would be appreciated by the residents.

  • • Carol produced a timesheet for members to fill in as this is useful as in kind resource.

  • • 6th September Quiz (Pam has prizes.)

  • • 1st November Quiz (Pam has prizes.)

  • • Craft fair 26th October

  • • Motown evening 29th November

  • • Opwall Christmas lunch 20th December

 

Any Other Business:

  • • Yvonne and Pam to go to Roughton on 19th September 7-9 Cluster meeting for Community Lincs
