Minutes of the Ramsden Hall Village Committee Meeting held on 30th April 2019
Those present: Rowland Alexander, Roy Hallam (Chair), David Makins, Pam Powell, Debs Talmage,
There were three members of the public present.
Apologies: Carol Wilby
Declarations of Interest: None were declared by those present
Minutes: The minutes of the last meeting were to be signed as correct.
Matters arising: None.


Finances:
• Rowland stated that the bank balance at 31.03.19 was £7698.25, petty cash £92.31. He stated that thanks should be recorded for the contribution made by the Lunch Club team especially after the OpWall catering which would generate a good profit. David checked the bank statement
• Expenditure: Utilities : Electricity for March was £27.27. The Anglian Water bill was £173.25
• Other expenses Payments to Pam and Carol for monies laid out for the Opwall catering. Also music licence £124.80. Rowland had received the discretionary rate relief which he had applied for.
• Advertising in Andy Gore’s notice board had been paid for by Andrea Davies and Dan of Kingsgate Electricals.
Cleaning and Maintenance:
• Shelving had been put in both kitchen storage cupboards and also a light in the storage area cupboard.
• David would check with the PC Clerk about the terms of the grass cutting contract as no strimming was being done at present.
• David had made a cover for the drain to prevent blockage by leaves.


Bookings:
• Usual hall bookings continue
• The Hall has been booked for two election days in May (2nd and 23rd)
• FOBC had booked the hall for a musical event in July.
Proposed extension to the Hall • Pam would send the site map to ELDC with form, photos and proposed VH plans for pre planning advice. We are waiting for Bruce Trewin to produce the site plan
Planned Events/Fund Fundraising
• 10th April Quiz (Roy and Pam to organise prizes.)
• 19th May Plant sale
• A second plant and garage sale on 30th June
• Afternoon tea 7th July
• 10th August Barbeque and ukulele band
• Craft fair 26th October
• Parking for events such as the garage sale was raised by a member of the public Sandra Dawson. No parking signs were to be put around the war memorial to discourage parking. Roy is to approach Simon Hawkes to ask if parking is possible on his land off Hareby Road
• Julia Alexander suggested the Dream Belles be asked to do a musical evening at the Hall. They charge approximately £320. She is to check if they are available for a Friday evening possibly in September.
Any Other Business:
• Rowland expressed concern about the fact that the last two PC meetings had been cancelled especially as the VH reports to the PC. Hopefully the PC will meet later in May with new councillors.
• Village Guard the insurers for the VH had written to Pam requesting further information. She would complete this with help from the Clerk and David.
• Mark Tong had asked to borrow a table for a party and all agreed.
• Roy needed to buy a reel and equipment to water the VH hanging baskets. £35 - all agreed to this.
• We now have a Ramsden Village Hall Old Bolingbroke Facebook page. Photographs of events were needed. Julia is an administrator for this as well as her daughter and Pam. Julia expressed an interest in joining the committee and was warmly welcomed onto it.
