 AGM Minutes and Ordinary meeting

of the Ramsden Hall Village Committee Meeting

held on 8th May 2018

Those present: Rowland Alexander, Angie Beale, Roy Hallam (Chair),Paddy O Flynn, Pam Powell, Carol Wilby,

Apologies: Mick Wilby

Declarations of Interest: None were declared by those present

There were no minutes available for the AGM as one had not been held the previous year.

Election of Officers:

Roy Hallam was proposed by Angie Beale and seconded by Carol Wilby. All agreed. Rowland Alexander to continue as Treasurer and Pam Powell as Secretary.

Minutes: The minutes of the last meeting were read and signed as a true record.

Matters arising:

  • • Roy thanked all those involved with the recent provision of meals for Operation Wallacea.

 

Finances:

  • • Rowland stated that there was a profit of £480 for food provided and £171 for the rent of the Hall following the recent use of the Hall by Operation Wallacea. Rowland will raise the invoices for the meals provided and for the rent of the hall.

  • • Bank balance: £6043.25 Petty cash: £54.85 to the end of April: confirmed by PC observer.

  • • Bills to pay: £263.64 Carol Wilby, £43.72 Carol Wilby, £7 Soap dispensers

  • • Rowland has replied to a letter from ELDC for the claiming of discretionary rate relief.

 

Cleaning and Maintenance:

  • • The electrician has a new water heater, a new clock and RCD sockets and new sink. The committee were very grateful for the work carried out.

  • • Pam to contact Adam Motley again re front door.

  • • Roy has treated the woodworm.

  • • Pam is to ask ELDC for a grey bin for recycling

  • • The cupboards in the kitchen and storage area are to be painted and sorted 7th June at 10am.

 

Bookings:

  • • Usual Hall users

  • • Marcelle Todd – July 12th for willow weaving.

  • • The woodcarving group has been cancelled for May

 

Village Hall Alterations

  • • A long discussion was held about the village hall extension. It was decided the committee would like a new kitchen with storeroom/ meeting room on the west side of the building with a porch at the front and the hall to be enlarged to where the present kitchen is.

 

Planned Events/Fund Fundraising

  • • June 23rd band £5/head everyone to bring their own refreshments etc. It is to be advertised on the village Facebook page and in the newsletter as well as with flyers.

  • • July 7th Table top sale £5 /table from 10am-1pm

 

Any Other Business:

  • • Andy Gore wanted to know if Dan had given a £1 for advertising. The answer was yes.

  • • Roy signed the terms of reference.

  • • Pam is to send a list of village hall committee members to the PC clerk.

  • • Paddy asked if the PC should have to pay for meeting in the village hall. It was charged £72 for the year. It was decided to charge the PC until January.

  • • Further discussion would take place on charging for use of the Village hall.

  • • Rowland said the committee is two members short. We need to advevrtise for two more members.
