Minutes of the Ramsden Hall Village Committee Meeting
held on 20th September 2020 by Zoom
Those present: Carol Wilby (Chair), Pam Powell (Secretary), Debs Talmage, Rowland Alexander, Yvonne Norbron David Makins (as PC rep).
Apologies Julia Alexander, Roy Hallam
Attending: Charles Routh.
Declarations of Interest: None were declared by those present
Minutes: The minutes of the last meeting were signed by the Chair.
Matters arising:

• No fundraising had been possible because of COVID but cake stalls would be held in November and December.

• ELDC had booked the hall as a polling station for the Police Crime Commissioner & Lincolnshire County Council Combined Elections on May 6th 2021.

• A letter of thanks would be sent to Roy Hallam and Dave Ellis. A total of £807 was raised from the sale of plants and donations given for the surplus fruit and vegetables donated by residents.

Finances:

• RA had sent the following details: the bank balance as at 30/09/2020 £25,831.20, petty cash £37.11

• £875 had been paid into the bank in October.

• Expenditure:
Opus energy £19.70 (Sept)£18.45 virtually all standing charge
Expected expenditure: M Wilby for weedkiller
Hand sanitisers
COVID Regulations

• Notices reminding visitors about the rules had been placed around the hall.

• Sanitisers had been put at each end of the hall and in the disabled toilet area.

• Track and Trace notices had been placed in the hall and outside noticeboard.

• People using the hall note their time of entry and leaving on a sheet in the kitchen.
Proposed extension to the Hall

• Planning permission was granted by ELDC.

• Letters had been received from the PC and circulated to the committee members prior to the meeting.

• It was decided there was no need for the committee to agree to the request for financial support to check the relationship between RVHMC and the PC, as research had revealed that RVHMC was an unincorporated charitable trust.

• The committee agreed to fund 50% of the costs to establish the ruling around VAT and whether the PC could reclaim it for the new extension.

• The committee recognised the need for the development of the play area to be interconnected with the development of the hall.

• Members agreed to support a working party which would be a task and deliver group but not a decision making group as this would be the role of the RHMC and the PC. Letter to go to Cllr Routh confirming this. Action CW
Any Other Business
It was agreed the boiler should be serviced at an estimated cost of £200.
